Moving Day Checklist for Miami Apartments

Moving out of a Miami apartment is different from moving out of a house. Between building rules, elevator bookings, and loading dock schedules, there are logistics most checklists skip. This one covers the apartment-specific steps that Miami-Dade renters and condo owners actually need.

Four weeks before the move

Start by calling your building management office. Every Miami high-rise has a different set of move-out rules, and most require written notice 14 to 30 days in advance. Ask about:

  • Required move-out notice period and any forms to submit
  • Freight elevator reservation windows (Brickell towers typically limit moves to weekday mornings)
  • Loading dock access hours and any vehicle size restrictions
  • Whether the building requires a Certificate of Insurance (COI) from our crew
  • Refundable move-out deposit amount and how to get it back

Two weeks before the move

Confirm your freight elevator reservation in writing. If your building uses a management company like FirstService or KW Property Management, email the move coordinator directly and save the confirmation. On move day, no confirmation email often means no elevator access.

Start packing non-essentials. In a Miami apartment, closet space is usually tight, so work room by room: guest bedroom first, then kitchen items you rarely use, then books and decor. Label every box with the room it goes TO in the new place, not where it came from.

If you have assigned parking and our crew needs loading dock access, coordinate with your building about temporary parking permits for the moving truck. Collins Avenue and Brickell Avenue buildings with no dedicated loading dock will need street-side loading, which some municipalities restrict to before 10 a.m.

One week before the move

Confirm the move date and arrival time with your crew. Ask them to bring floor runners and door frame protectors, especially if your building requires them. Most Sunny Isles and Aventura towers charge damage deposits and will deduct for scuffs in the hallway or elevator.

Take photos of your current apartment, documenting wall condition, flooring, and any pre-existing damage. This protects your security deposit. Miami landlords have 15 days after move-out to return your deposit or provide an itemized list of deductions under Florida Statute 83.49.

Set up mail forwarding through USPS. Update your address with your bank, insurance, employer, and the Florida DMV (you have 10 days to update your license address after moving within the state).

Move day

Have the freight elevator key or access code ready before the crew arrives. Nothing burns time like waiting for a building manager to unlock the service elevator at 8 a.m.

Keep a personal bag with essentials separate from the packed boxes: phone charger, medication, building access cards for both locations, a change of clothes, and water bottles. Miami moves in summer mean 90-degree heat and humidity, even in the morning.

Walk the apartment with the crew chief before they start loading. Point out fragile items, tight doorways, and anything that stays. After loading, do a final walk-through of every room, every closet, every cabinet. Check the balcony, storage unit, and mailbox.

After the move

Return all keys, garage remotes, and access cards to your old building within the timeframe specified in your lease. Take a photo of the returned items with a timestamp.

At the new apartment, check that all boxes arrived and note any damage on our crew delivery receipt before signing. If something is damaged, document it with photos and report it to our office within 9 months (the federal filing window for interstate moves) or within 60 days for Florida intrastate moves.
